What is a digital worker? A definition you can hold us to

A digital worker is software that owns one job from start to finish, not just one task inside it. It logs into the tools you already pay for and follows roughly the steps a person would follow. Then it finishes the work. A stalled invoice gets chased until it is paid. A routine customer question gets answered. This week's numbers get pulled into one place before anyone asks for them.

That is the short version. The rest of this article covers what vendors tend to skip:

  • how a digital worker differs from a chatbot or a plain automation
  • which jobs it can actually hold
  • what it cannot do

If a company selling you one will not spell out that last part, that alone is worth noticing.

The words people mix up

Four terms get used almost interchangeably in ads and pitch decks. They are not the same thing.

Automation is the broadest term. It is a fixed rule: when this happens, do that. No judgment involved. A form submission that sends an email is automation.

A bot, in the older RPA sense, follows a recorded script on a screen. It clicks the same buttons in the same order on data shaped the same way every time. Change the layout of the invoice it reads, and it breaks.

An AI agent uses a language model to decide the next step for one narrow task. It can handle some variation, drafting a reply or sorting a message. But it stays confined to that one task, and it hands off once the task ends.

A digital worker strings several of those together into a full role. It reads a situation across more than one system and decides what step comes next. It acts inside limits you set. And it keeps going until the job is actually done, not just until one step is done. Think of the difference between a tool that drafts one email and a colleague who owns getting invoices paid.

We use "digital worker" as our own term for what we build. Nobody owns the definition yet, which is exactly why we are writing it down and standing behind it.

What jobs a digital worker can actually hold

In practice, the roles that fit best today share three traits:

  • they repeat often
  • they follow roughly the same shape most of the time
  • a human can check the output quickly

A few examples:

  • Chasing unpaid invoices across the tools you already use, sending reminders on a schedule, and flagging the ones that need a human call.
  • Answering a missed call or an after-hours message with the information a caller actually needs, then booking or logging it.
  • Following up on a quote that has gone quiet, without a person having to remember to do it.
  • Pulling numbers from separate systems into one weekly picture, so nobody is exporting three spreadsheets by hand.

None of these are new ideas. What is new is one piece of software owning the whole loop, not five tools stitched together by a person.

Digital worker versus a human hire

A digital worker is not a replacement for judgment. It is not cheaper labor in the way a below-minimum-wage hire would be. It does not get sick, and it does not need training on the same task twice. It works at 2 a.m. without complaint. It also cannot build a relationship with a customer, cannot notice a coworker is struggling, and cannot decide company strategy.

The honest comparison is not "who do I not have to hire." It is closer to "what does this free my one employee to stop doing." We wrote a longer answer to that exact question, including where the economics land, in AI employee vs human hire.

What a digital worker cannot do

This is the part the title promises, so here it is plainly.

A digital worker should not make judgment calls that carry real reputation or legal risk on its own. A few examples:

  • waiving a fee for an angry customer
  • negotiating a contract term
  • deciding who gets fired

It also struggles with situations it has never seen before, because it works from patterns, not instinct. It cannot be physically present for a job that needs a person in the room. And it should never touch a customer-facing action without a human able to see and stop it first.

That last point is not a limitation we are apologizing for. It is a design choice. Every digital worker we build waits behind an approval gate before it does anything customer-facing, one tap from the owner. Every action it takes lands in an audit ledger you can read afterward. If a vendor cannot show you that trail, ask why.

Is your data safe with one

Short answer: it depends on what the digital worker can reach, and that is a design decision, not a given.
